FAQ
Here I'm answering some of the most common questions you may have. Feel free to ask me about anything else when reaching out through this form.
Do you also design book covers?
Not right now. My focus is on interior layout and EPUB production, so you’re free to work with any cover designer you love.
Can you take on a last‑minute project?
Sometimes, yes. If your deadline is tight, tell me your timeline and the complexity of your book. If I can fit it in, I will—rush fees may apply, but I’ll always be upfront about that.
How do we get started?
Just fill out the form on my contact page. Share as many details as you can: your goals, your book’s genre, any layouts you admire. Once I review everything, I’ll send a tailored proposal so we can get started.
What do I need before we begin?
Your manuscript should be fully edited and proofread. You’ll still have one final round for small text corrections, but the heavy editing should be done beforehand.
Who owns the files once the project is done?
You do. After final payment, all approved files are yours to use however you wish. I may show the project in my portfolio, unless you prefer full confidentiality.
Will you keep my work private?
Absolutely. I never share or display your book without your permission. After launch, you decide whether I can show a small excerpt in my portfolio once the book has been officially published.
Should I credit you in my book?
It’s not required, but it means a lot to me. A simple line works beautifully: Book Interior Design or Typesetting by Ruth Shamma Duclair.
Can I cancel the project?
Yes. If you cancel midway through the project, with at least one week’s notice, there’s no penalty beyond the non‑refundable 50% initial fee. If you cancel after revisions have begun, a kill‑fee may apply to the remaining balance.
How do I send my files?
Once the contract has been signed, I'll share a google drive folder where you can upload all necessary materials. Please include:
Your manuscript in .doc/.docx and PDF
Your cover file (needed to ensure consistency with the interior)
Any images, charts, or graphics as labeled, high‑resolution files
Notes on where images should appear and whether they should be in color or black & white

What does your process look like?
We start with a conversation about your book and your goals. Communication is done exclusively via Email or Google Chat to keep track of every detail. The workflow unfolds like this:
1 — Initial Consult — We talk through your needs, and I send a quote and contract.
2 — After a 50% deposit, I design two sample layouts (up to 25 pages) with two rounds of edits. You may choose elements from both layouts to help me craft a final one that you're satisfied with.
3 — I complete the full interior layout with two more rounds of revisions.
4 — If included, I convert the approved layout into an EPUB.
5 — After final approval and payment, you receive all final files.

How long until I see the first designs?
Usually within 5 business days after payment. The full process typically takes 3–4 weeks, depending on complexity. If you have a firm deadline, tell me early so I can plan around it.
How many revisions are included?
Most books need 2–4 rounds. A revision round means refining the chosen design, not starting over with a brand‑new concept.
What exact services do you offer?
Print Interior Layout (print-ready PDF/X‑1a:2001 compliant for KDP, IngramSpark, and others)
EPUB Formatting (accessible, validated, and ready to upload anywhere)
EPUB Formatting (accessible, validated, and ready to upload anywhere)
What software do you use?
Print interiors are created in Adobe InDesign (Affinity Publisher on request). EPUBs are edited in Calibre or Sigil.
Do I need to format my manuscript first?
Don't stress too much about formatting. Send it as-is. I handle all typography, spacing, margins, and layout. Just make sure the text is final and clean, and let me know where images, dividers or any special elements should go.
Should I try doing the design myself?
You can, but book design is a craft that takes time, training, and technical know‑how. Many authors prefer to focus on writing and let a designer handle the details that make a book feel professional, readable, and bookstore‑ready.
Do you offer support after delivery?
Yes. If a retailer rejects your EPUB or you have trouble with the print file, I’m here to help.
Can you add a review page or QR code after the book is live?
Of course. I’ll add it for free.
Can I use your files for traditional publishing?
Yes. My files are print‑ready and suitable for any publisher.
Do you need my fonts?
If your design uses specific fonts, please provide the files or confirm licensing. Some fonts can’t be embedded in EPUBs, so I may suggest open‑license alternatives when needed.
Why does my EPUB look different on different devices?
Every reading app has its own default styles and CSS support. I use widely supported code and test on major readers, but perfect consistency across devices isn’t possible.
Do you create fixed‑layout EPUBs?
Yes, for books where layout must stay intact (children’s books, cookbooks, comics). These require more work and are priced accordingly.
Will my EPUB pass validation?
Yes. I validate all EPUBs and test them on major reading apps. Minor differences in appearance across devices are normal.
Do you add metadata and the cover image to the EPUB?
Yes. I include essential metadata and embed the cover so your book displays correctly in stores and libraries.
Do you handle ISBNs, barcodes, or uploads?
No. I prepare the files, but ISBNs, barcodes, and uploads are handled on your end.
How do I get an ISBN?
You can use a free ISBN from some platforms, but buying your own gives you full control over your imprint, metadata, and future publishing flexibility. Bowker is the main source for purchasing ISBNs.
My book will be used as teaching material on platforms like VitalSource or Pressbooks, can you also handle that?
Of course! I specifically love working on those. They may have interactive quizzes and assessments, embedded media or more, depending on the distributor.
